BASRaT's role

BASRaT has a dual role when it comes to data protection, one as a membership organisation and the other as a regulatory body for Graduate Sport Rehabilitators (GSRs) in the United Kingdom. Individuals entitled to use the title ‘GSR' (Graduate and Graduate Allied Health Professional categories) are registrants of the organisation and therefore appear on our register. All other categories are members of the organisation. We hold an electronic administration system which includes personal information about all members and registrants of the organisation. For more details please see Types of Membership We have a responsibility to monitor professional standards of our registrants, protect the public and maintain public confidence in the profession. We make sure that registrants keep their skills and knowledge up to date and uphold our professional standards in line with our published processes and procedures. We have clear and transparent processes to investigate registrants who fall short of our standards.

Under the Data Protection Act (DPA) 1998, we have a legal obligation to control how we collect, use and store personal information

General privacy information

This privacy notice tells you what you can expect when BASRaT collects personal information about you and applies to information we collect about:
  • All members whose information is stored on our electronic administration system
  • All registrants whose information also appears on our register
  • Individual's seeking admission to the our register (via Accredited Institutions, Membership Exam or Individual Membership Application processes)
  • Individuals whose information is relevant to our Fitness to Practise (FtP) processes and procedures
  • Individuals who contact us by telephone or email
  • Individuals who contact us to raise any concerns about a registrant or the organisation.

This privacy notice also explains how you can access or update your personal information held by BASRaT and how long information about you may be kept by BASRaT.

Data Protection

All information provided by you as a member/registrant of BASRaT is treated in accordance with the principles of the DPA. Further information can be found at https://www.gov.uk/data-protection/the-data-protection-act For the purposes of the DPA, BASRaT is identified as the "data controller". We will collect general personal information about you including your name, address, email address, telephone number, place of work or study, year of graduation and additional qualifications. We may also collect personal information about you if you provide us with feedback about an area of practice, a concern is raised about you or if you raise a concern about a registrant or BASRaT as an organisation. We may collect information about other individuals as set out in this privacy notice.

How we use your information

When you apply to join the organisation, we will process your personal information in accordance with the DPA.

We will use your personal data for the purposes of administering and assessing your application to join the organisation.

Seeking admission to join BASRaT

If you join the organisation as a registrant, we will collect personal information about you for the following purposes:

  • Administering your application for admission or readmission to the register

If you join the organisation as a member, we will collect personal information about you for the following purposes:

  • Administering your application for admission or readmission to the electronic administration system

Current registrants

We will collect personal information about you for the following purposes:

  • Administering your applications for renewal of your registration
  • Running and maintaining the register
  • Compliance with our responsibility to monitor professional standards of our registrants, protect the public and maintain public confidence in the profession.
  • Carrying out investigations into any concern raised against you, including making any necessary publications about the investigation
  • Administering any sanctions against you
  • Sending you communications connected with your registration and about the organisation as a whole
  • Dealing with any contact you make with the organisation

Current members

We will collect personal information about you for the following purposes:

  • Administering your applications for renewal of your registration
  • Running and maintaining the electronic administration system
  • Sending you communications connected with your membership and the organisation as a whole
  • Dealing with any contact you make with the organisation

Registrant/Member online record

Once your application to join the organisation has been processed and confirmed an online record is produced. This is accessible via the Member's Area on our website which is password protected.

In the Member's Area; your personal information, registration details and continuing professional development information are stored.

It is important to keep your contact details and email address up to date to help you maintain your registration as this information will be used by us to contact you.

How to update your information

Registrant/Member information can be updated by logging into the Member's Area of the website. A registrant/member can amend personal information and contact details; registration information is visible but can only be amended by BASRaT administration staff.

The continuing professional development log is an on-going store to which information can be added and categorised. This can only be updated/amended by you as the registrant.

Find a Practitioner

Registrants are able to add information about their practice to the "Find a Practitioner" database via the Members' Area. This information can only be updated/amended by you as the registrant.

Information stored on the "Find a Practitioner" database is available to members of the public via the following link: http://www.basrat.org/findpractitioner

It is important to note that this does not serve the same function as the "Register Check". Find a Practitioner is an optional addition to the Members' Area for registrants who wish to display their clinic details, clinical specialities and contact details to members of the public.

Disclosing personal information to third parties

We may be required to disclose personal information in response to requests from a court, tribunal, other healthcare regulator, or otherwise as part of the litigation process or to protect the public and maintain public confidence in the profession.

How BASRaT uses your information when you contact us (telephone/email/letter)

We process personal information collected via the above means for the purposes of:

  • Dealing with your inquiries and requests
  • Administering registered user records
  • Maintaining information as a reference tool or general resource
  • Providing you with information about the organisation

How to access your personal information

We try to be as open as possible in giving people access to their personal data. If you would like to find out if we hold any personal data about you, you are entitled to make a "subject access request" under section 7 of the DPA. If we do hold any personal data about you, we will provide you with the following on request:

  • A description of your personal data held by BASRaT;
  • The reasons why BASRaT hold that personal data;
  • The recipients (if any) of your personal data; and
  • A copy of your personal data.

Alternatively you can contact BASRaT by telephone, 0161 295 0070 if you require any support to put your request in writing. BASRaT will not ignore a request because it is not in writing and will support those who may be unable to put a request in writing (e.g. due to language or literacy difficulties).

Raising a Concern

We may collect and hold personal data about you in order to respond to you regarding any requests for information, dealing with any concerns raised, including those you raise about a registrant. When you raise a concern about a registrant we may share your personal information within the organisation and with the registrant you have raised the concern about.
